Contract renewal configuration


Enable Contract renewal and control the renewal entry, permissions, field copying, and addendum inheritance.

Overview

Contract Management renewal configuration determines whether users can generate a separate new Contract from an original Contract and which data the system can carry over to the new Contract.

Before you start

[!IMPORTANT] - Role permissions: You need CRM Administrator permissions. - Business preparation: Confirm the Contract creation permissions, renewal permissions, and role assignment plan. - Field preparation: Confirm the fields to copy from the original Contract. - Optional dependency: To inherit addendum details, first confirm the Contract hierarchy and mapping fields.

Enable the renewal feature

  1. Go to Admin Console > Business Rule Management > In-Sales Management Configuration > Contract-Related Document Configuration. This is the Setup path for Contract Management > Related Documents.
  2. Open the Contract-related document configuration.
  3. Enable the Renewal Feature Master Switch.
  4. Save the configuration.
[!NOTE] The renewal capability itself cannot be disabled. To suspend renewal, remove the Renewal permission from the user’s feature permissions.

Configure renewal entry conditions

  1. In the Contract-related document configuration, open the renewal button condition settings.
  2. Keep the default condition where the Life Status is Normal.
  3. Keep the default condition where the original Contract is a master Contract.
  4. Add other visibility conditions as needed for the business.
  5. Save the button conditions.
[!WARNING] Do not delete the default conditions. Otherwise, non-Normal Contracts or child Contracts may display a renewal entry.

Configure user permissions

  1. In the role permission configuration, open the Contract feature permissions.
  2. Grant the target role Contract creation permission.
  3. Grant the target role Contract renewal permission.
  4. Assign the role to users who need to perform renewals.
  5. Sign in as a target user and check whether the renewal entry is visible.
Users must have Contract creation permission before you can assign them Contract renewal permission.

Configure field copying

  1. In the Sales Contract field list, open the field property configuration.
  2. Enable Allow Copy for fields that should be inherited.
  3. Check the copy settings for business fields such as Account Name, primary terms, and Product Details.
  4. Save the field configuration.
Fields without Allow Copy are cleared automatically during renewal. Fields generated by the system, such as Contract No. and Effective Status, do not inherit their original values.

Configure addendum inheritance

  1. Enable the Contract Hierarchy master switch first. Screenshot: contract renewal configuration
  2. Enable the Add from Addendum Details switch. Users can then select child Contract information to populate during renewal.
  3. If your enterprise enables CPQ, also enable the Add from Addendum Details switch and configure the BOM-related mapping fields in Contract Mapping Settings. Screenshot: contract renewal configuration Screenshot: contract renewal configuration

Verify the configuration

  1. Perform a renewal from a Normal master Contract.
  2. Confirm that the renewal page includes fields with Allow Copy enabled.
  3. Confirm that fields without Allow Copy are empty.
  4. Simulate a price change and confirm that the system prompts you to keep the original price or use the latest price.
  5. Check whether users can select and merge addendum details as needed.
  6. Submit the renewal Contract and confirm that the system records the source Contract for the renewal.

Revert the configuration

To stop users from renewing Contracts, remove the Renewal permission in the role permissions. After changing field copying or button conditions, perform a renewal with a test Contract to confirm that the new configuration takes effect.

Expected results

  • The renewal entry appears for eligible master Contracts.
  • Renewal Contracts inherit original Contract data according to the field configuration.
  • Price and Product scope validation takes effect at submission.
  • The new Contract retains its source Contract relationship.
