Configure account address and account master data


Standardize Account Addresses and manage Account Master Data across organizations.

Overview

Account Address synchronization settings control how Account Management creates and updates addresses. Account Master Data policies control creation, association, and updates in Multi-Org environments.

Before you begin

  • You need permissions for enterprise settings, the Account object, and Multi-Org configuration.
  • Define Data Maintenance ownership and field update scope for each organization.
  • Test Orders, Fieldwork, and invoicing before you enable Account Address decoupling.

Configure Account Address synchronization

  1. In the Account Address settings, evaluate Automatic Account and Account Address Creation and Synchronization.
  2. If you enable it, choose whether the system creates a Primary Address with a new Account.
  3. Choose whether the Primary Address synchronizes with the Account’s Region Location.
  4. Test Account creation, Region Location changes, and address voiding.
Configure Account Address decoupling
The main switch cannot be disabled after activation. Evaluate existing data and downstream business impact before you enable it.

Enable Multi-Org and Account Master Data

  1. Go to Setup > Enterprise Settings > Multi-Org Settings.
  2. Evaluate the impact on existing Account data, organization permissions, and business processes.
  3. Enable Multi-Org.
  4. Confirm that the Account Master Data object is available.
  5. Plan permissions and fields for Account Master Data and Account.
Enable Account Master Data
Account Master Data maintains a shared company identity. Each organization’s Account Business Data associates with that master record. A new Account must have one Associated Account Master Data record.
Note: Enabling Multi-Org is irreversible. Test historical Account data, permissions, and integration processes before activation, and obtain the required authorization.

Configure Account Master Data creation

This setting removes the need to create Account Master Data before creating an Account.
  1. Go to Setup > Master Data Management.
  2. Open Account and Account Master Data Creation Settings.
  3. Enable Automatically Generate Account Master Data When Creating an Account.
  4. Review the field mapping rules for values copied from Account.
  5. Save the settings and test the association.
Configure Account and Account Master Data creation
When a user creates an Account, the system applies the following logic:
  1. The system searches Account Master Data for an exact Account Name match.
  2. If a matching record exists, the system uses Auto Associate.
  3. If no record exists, the system creates Account Master Data when saving the Account.
  4. The system writes mapped Account Field values to the new Account Master Data.
Note: Automatically generated Account Master Data does not trigger its New Duplicate Check or Approval Process. Confirm that this behavior meets your data entry and review requirements.

Configure the master data update policy

The update policy controls whether Account data can update Account Master Data and how the system combines values.
  1. Go to Setup > Master Data Management.
  2. Open Master Data Update Policy Settings.
  3. Select the Standard Object Account.
  4. Select the organization node.
  5. Select fields by Field Name or Field Type.
  6. For editable fields, select Overwrite or Append.
  7. To reuse the policy, select Apply to Lower Levels.
  8. Save the settings and test updates from different organizations.
Configure the master data update policy
The system applies the following update rules:
Setting Behavior
Updates not allowed Account changes do not update the Account Master Data field; this is the default
Overwrite The latest value replaces the existing value, based on Last Modified On
Append The latest value is appended to the existing value, based on Last Modified On
Allow business organizations to update only necessary fields. Protect baseline fields such as Enterprise Name and Unified Social Credit Identifier according to your data governance policy.

Verify the configuration

  1. Create an Account with an existing Account Master Data name and verify the automatic association.
  2. Create an Account with a new name and verify automatic Account Master Data creation.
  3. Change an allowed Account Field and verify the Overwrite or Append result.
  4. Change a restricted Account Field and verify that Account Master Data remains unchanged.
  5. Update the same master record from two organizations and verify Last Modified On processing.
