Manage tasks
View, edit, or void tasks, and understand which actions are available to each role.
Before you begin
- The organization has activated the phased-release feature of object-based Tasks.
- You can open target tasks.
- Whether to display edit or void operations is determined by the current user identity, task status, and role permissions.
View and process tasks
Go to Work > Workspace > Task. Use My Tasks to view tasks assigned to you and Tasks initiated by me to view tasks you created.
| Role | Main operations |
|---|---|
| Assignee | View and complete tasks, enter completion details, decline tasks, and complete requested rework |
| Creator | View results, request rework, comment, or score |
| User with Void permission | Void a task that should no longer be processed |
| Administrator with Recycle Bin deletion permission | Delete eligible records from the Recycle Bin |
Edit task fields
- Open the task that needs to be processed.
- Confirm that the page displays an edit action.
- Modify the fields that the current layout allows editing.
- Save the changes and reopen the task to confirm the results.
Object-based tasks support editing configured fields. The fields that can be edited depend on the assigned layout, task status, and the current user’s permissions.
Canceling tasks
In the object-based task experience, use Void instead of deleting an active task.
- Open the target task.
- Confirm that the task no longer needs to be processed.
- Click Void.
- Confirm the operation.
Whether to display the Void button is determined by the void permission configured by the administrator, the current user identity, and the task status.
[!WARNING] After a task is voided, the corresponding to-do data is cleared; the voided data currently does not enter the recycle bin. Before operating, you should confirm that the executor no longer needs to handle the task through the to-do list.
Void compared with delete
| Operations | Operators and entry points | Purpose |
|---|---|---|
| Void | Users with user-facing cancellation permissions can operate on the task page | Terminate the current task and its subsequent to-do processing |
| Delete | Administrators with deletion rights to the Recycle Bin can operate in the Recycle Bin | Delete data that has entered the Recycle Bin |
Void ends processing from the task page. Delete is an administrator data-management action in the Recycle Bin. These actions are not interchangeable, and a voided object-based task does not currently move to the Recycle Bin.
Differences between task entry points
Tasks created from the Task tab at the top of Feeds use the object-based task form. Tasks created with Set as task from a Feed detail page, from Chats, or from a task component may still use the legacy form, so their fields and actions can differ.
Edit or Void is not available
Check in order:
- Whether the current task uses object-based task forms.
- Whether the current role has Edit or Void permissions.
- Whether the current user identity and task status allow the operation to be performed.
- Whether the current layout displays the fields that need to be edited.
- Whether the current user is the assignee or creator, or only has permission to view the task.
If permissions or page configuration are unclear, contact your CRM administrator to check the task object’s role permissions and layout assignments.
