Create and complete tasks

Create tasks in Feeds, then view, complete, and review them in Workspace.

Before you begin

  • The organization has activated the phased-release feature of object-based Tasks.
  • Your role has permission to create Tasks.
  • The administrator has assigned available record types and a create/edit page layout to your role.
[!NOTE] If you do not have permission to create new tasks, the new task button will not be displayed at the top of Feeds.

Select the correct entry point

The current task form is available for:
  1. Task entry point at the top of Feeds.
  2. New-post entry point.
Task objects cannot currently be configured on the object list page. “Set as task” on the Feed details page, Chats posting tasks and task components may still open the original task form, which is beyond the scope of this article.

Create task

  1. At the top of Feeds, select Task.
  2. Fill in the task information according to the record type and layout displayed on the page.
  3. Set the Assignee, Deadline Time, reminder, Related To data, and Cc as needed.
  4. Select Submit, Save as Draft, or Cancel.

Fill in the task fields

The fields actually displayed on the page are determined by the layout configured by the administrator. Commonly used default fields are as follows:
Fields Instructions Current Limitations
Title Enter the task name Single-line text field
Content Describe work requirements and deliverables Use collaborative rich text 1.0, topics are not supported yet
Assignee Select the person responsible for completing the task Supports multiple users, but not groups
Deadline Time Set when the task should be completed Date and time field
Reminder Set a task reminder when the layout provides this field Availability is controlled by the layout
Related To Associate accounts, opportunities, or other CRM data Available objects depend on the page configuration
Administrators can also add custom fields to task objects, so different organizations, roles, and record types may see different forms.

Submit or save a draft

  • Select Submit to create the task.
  • Select Save as Draft to keep the current content and continue later.
  • Select Cancel to exit without creating the task.
Both the web client and the app support saving task drafts.
After publishing, you should confirm that the task has been generated at the current portal or the task viewing portal provided by the organization, and check whether the executor, deadline and associated business data are correct.

View tasks

Go to Work > Workspace > Task to view and process:
  • My Tasks: Tasks assigned to the current user.
  • Tasks initiated by me: Tasks created and assigned by the current user.
After opening the target task, you can view the task fields, current processing status, and operations provided by the page.

Complete or reject the task

Executors can handle tasks assigned to themselves:

Complete the task

  1. Go to Work > Workspace > Task and open the task.
  2. Click Done.
  3. Fill in the completion instructions.
  4. Confirm submission.

Reject task

  1. Open an unfinished task.
  2. Click Decline.
  3. Fill in the instructions as required on the page and confirm.
After rejection, the task creator can view the processing results in “My Tasks” and continue processing based on the actual situation.

Request to redo or comment on a task

The task creator can view results in Work > Workspace > Task > Tasks initiated by me:
  • When the execution result does not meet the requirements, click Redo Task to re-handle the task to the executor.
  • After confirming the execution results, you can comment or rate.
After the assignee receives a redo request, they must complete the task again and submit updated completion notes.

Client differences

Can’t see the task entry point

Confirm the following conditions in order:
  1. Whether the organization has enabled object-based Tasks phased release.
  2. Whether the current entry is the top of Feeds or new post.
  3. Whether the current role has permission to create new tasks.
  4. Whether the administrator has assigned record type and layout to the current role.
If you can create a task but cannot view or process it, go to Work > Workspace > Task and check My Tasks and Tasks initiated by me.
