Configure report analytics and statistics
Configure Reports Due, Reports Submitted on Time, Late Reports, Total Reports Submitted, and Reports Not Submitted. You can also manage report permissions, exports, and subscriptions.
Choose a reporting method
| Method | Use case | Administrator | Result |
|---|---|---|---|
| BI reports | Create custom analysis by department, employee, report type, or other dimensions | CRM administrator or report administrator | Custom charts, exports, and scheduled subscriptions |
| Report Statistics | Query predefined results by report type, employee scope, and date range | Report Admin | Predefined statistics and report files |
| Report object-list export | Export submitted Report details without calculating due or missing submissions | User with Report export permission | Report field details |
To calculate due, on-time, late, or missing submissions, first enable Include in Statistics for the relevant report type. To export submitted records only, use the Report object list without creating BI metrics.
Before you begin
- Your organization uses object-based reports.
- report types, layouts, and templates are configured.
- The account that creates BI reports can create reports and access the required report data.
- The account that uses Report Statistics is a Report Admin with the required management scope.
- You have defined the Report type, applicable employees, reporting period, and submission deadline.
Enable Report statistics
- Go to Setup > Work Circle > Report Management > Report Template.
- Locate the report type and select Edit.
- Check the applicable scope, reporting period, submission start time, deadline, and late-submission setting.
- Enable Include in Statistics.
- Save the configuration.

The system then generates Reports Due data from the record type, applicable scope, reporting period, and submission rules. This virtual reporting object does not appear in Object Management.
Due, on-time, and late results depend on the submission rules. After changing the scope, period, or deadline, validate the next reporting period with test data.
Create a BI report
Create a chart
- Open Reports in CRM.
- Create a chart.
- Select an employee-based report statistics template.
[!NOTE] The BI report designer can vary by version. Focus on the Report object, employee and department dimensions, reporting metrics, and filters.
Configure the chart, dimensions, and filters
- Select a column chart, table, or another appropriate visualization.
- To analyze by organization, add the Primary Department dimension.
- To view employee details, add the System Name (Nickname) dimension.
- Add the Report metrics you want to display.
- Filter by report type, department, employee, or reporting period.
A chart can use both department and employee dimensions. To avoid duplicate totals, verify the grouping level, department-assignment rule, and filter scope.
Configure Report metrics
| Metric | Definition |
|---|---|
| Reports Due | Reports required during the reporting period according to template scope and submission rules |
| Reports Submitted on Time | Reports submitted before the deadline |
| Late Reports | Reports submitted after the deadline when late submission is enabled |
| Total Reports Submitted | Reports actually submitted during the reporting period |
| Reports Not Submitted | Reports Due - Total Reports Submitted |
Reports Due
Select the Reports Due data for the target record type. Then configure the aggregation and filters for your reporting method.
Reports Submitted on Time
Use this metric for records submitted before the deadline. Use the same record type and reporting period as the Reports Due metric.
Late Reports
Use this metric for records submitted after the deadline and marked as late by the system. Do not include post-deadline records when the template does not allow late submissions.
Total Reports Submitted and Reports Not Submitted
Use Total Reports Submitted for the actual submission volume. To display missing submissions, create this calculated metric:
Reports Not Submitted = Reports Due - Total Reports SubmittedBefore creating the calculation, verify that both metrics use the same record type, employee scope, and reporting period.
Save the report and assign permissions
- Select Preview and check the chart, dimensions, metrics, filters, and results.
- Select Save.
- Enter the report name and destination folder.
- Configure view and operation permissions.
- Sign in with a target-role account and verify report visibility.
Report permissions do not replace Report object data permissions. Check the report visibility scope, object data permissions, and metric data scope together.
Export and subscribe
You can export a saved chart or subscribe to it. A subscription periodically sends results through Chats or CRM Notifications.
Confirm that each subscriber can view both the report and its underlying report data. Use a test subscription to verify delivery time, channel, and content.
Use Report Statistics
Use Report Statistics when you need predefined results instead of custom metrics. This feature is generally available.
- Go to Setup > Work Circle > Report Management > Report Statistics.
- Select the Report type, employee scope, and date range.
- Select Search to view the result.
- Select Generate Report to create a report file.

Report Statistics includes active employees only. To analyze historical records for deactivated employees, use Report object-list data permissions or build a BI report from the Report object.
Reporting limitations
- The Report
Timefield is text. Use a date field, such as Report Start Date, for date-range filters. - Multiple comments can create several review records for one Report.
- BI reports cannot analyze review status, Reviewer, score, review content, or review time.
- Object lists cannot directly display or export the status or content created by Multiple comments.
- Use the object list for record details, Report Statistics for predefined statistics, and BI reports for custom analysis.
- For unexpected results, check Include in Statistics, scope, submission rules, record type, report filters, and data permissions.
Validate the configuration
- Enable statistics for a test Report type.
- Create on-time, late, and missing-submission scenarios for test employees.
- Check Reports Due, Reports Submitted on Time, Late Reports, and Total Reports Submitted.
- Verify
Reports Not Submitted = Reports Due - Total Reports Submitted. - Check the data scope for an administrator, an employee, and a deactivated employee.
- Verify preview, saved-report permissions, export, and subscription.
- Compare Report Statistics with the BI report and confirm that their employee scopes and reporting periods match.
