Configure address book settings


Configure people selectors and address book display rules and extension fields. These settings work with Directory Isolation.

Overview

💡 Use address book settings to control how people selectors display colleagues and departments during business processes and approval assignment. You can also add extension fields to selection cards so front-line users can verify employee information quickly.

Before you begin

[!IMPORTANT] - Role permissions: You need System Administrator permissions or a management role with Address Book Management permissions. - Impact: Address book settings take effect immediately in colleague and department selectors on web and mobile.

Procedure

1. Configure people selector display rules

  1. Go to Setup > Organization Structure > Address Book Settings > People selector rules.
  2. Configure the Members tab:
    • View modes: Select View by Dept and View alphabetically. If you select only one, the client shows only that tab.
    • Default: Select View by Dept or View alphabetically. The system uses the Org Structure mode by default.
  3. Configure the Department tab in the same way, including its view modes and default view mode. ### 2. Customize people selector fields
To distinguish employees with the same name or multiple positions, add extension fields to people selector cards:
  1. On Address Book Settings, locate People selector field extensions.
  2. Configure fields with the transfer box:
    • Required fields: Avatar and System Nickname are always displayed. You cannot hide or move them.
    • Custom extension fields: The displayed field list supports up to five fields, such as primary department, job title, email, and mobile number.
  3. Click Save. ## Verify the result
  4. Set the default colleague selector mode to View alphabetically, and add job title as an extension field.
  5. Sign in to the client, open the New Account page, and use the Owner people selector.
  6. Expected result:
    • The selector displays employees in A-to-Z order by default.
    • Each employee card displays the configured job title in addition to the avatar and nickname.
