Manage multiple organizations

Enable and configure a multi-organization Org Structure for group-based operations across multiple entities. The Parent Department controls the hierarchy, while Directory Isolation controls address book visibility.

Overview

💡 Use multi-organization management to coordinate branches, independent legal entities, and subsidiaries. This capability provides a unified management view, optimizes cross-entity resource allocation, supports target collaboration, and physically isolates data by organization.

Before you begin

[!IMPORTANT] - Role permissions: You must have System Administrator permissions. - Impact: You cannot disable multi-organization management after enabling it. Plan organization codes and permission boundaries first.

Procedure

1. Enable multi-organization management

  1. Go to System Management > Company Settings > Multi-Organization Settings.
  2. Read the system notice and confirm that you understand this capability cannot be disabled.
  3. Turn on the Enable switch.
  4. After confirmation, the system upgrades the database model:
    • The default root node, Entire Company/Group, becomes the first Organization node.
    • The data permissions module adds options for assigning permissions by organization.

2. Create a child organization

After enabling this capability, create multiple organization levels in the organization tree:
  1. Go to Setup > Organization Management > Departments and Employees.
  2. Select a top-level or existing organization node in the tree on the left.
  3. Click New Child Organization or New Peer Organization.
  4. In the New Organization page, enter:
    • Organization name: Enter a unique name. Click the language icon to configure Simplified Chinese, English, and Traditional Chinese names.
    • Organization code: Set a unique identifier. Readable English characters are recommended.
    • Organization manager and assistants: Assign the people responsible for the organization’s data.
  5. Click Save.
[!NOTE] * You can create child organizations or departments under an organization. * Restriction: You cannot create an organization under a department. You can create only a child department.

3. Configure organization groups and isolation

When you create or edit an organization, configure these security and collaboration options:
  • Department group settings:
    • Include child department members: When selected, employees in child organizations and departments automatically join the group created for the organization.
    • Include isolated child department members: When selected, isolated members in child organizations also join the group.
  • Organization isolation settings:
    • Hide in address book: Select Do not hide, Hide outside the department except the parent manager, or Hide outside the department. You can use a whitelist to specify visible organizations.
    • Restrict address book access: Limit members to View only within the department or View only themselves when they select people or browse the address book.

Verify the result

  1. After enabling multi-organization management, create a child organization named Shanghai Branch in the organization tree on Departments and Employees.
  2. Create a department named Sales Department under Shanghai Branch.
  3. Check the Shanghai Branch - Sales Department node and confirm that Shanghai Branch is its parent organization.
