Manage departments


Maintain departments and the Org Structure, update department information, and import or export department data in batches.

Overview

💡 Use department management to create and maintain department attributes, Set Department Head and Assign Assistant for Auto Assign of data permissions, and manage department data efficiently with batch import and export tools.

Before you begin

[!IMPORTANT] - Role permissions: You need System Administrator permissions or the Organization Administrator management role with the required scope. - Impact: Changes to the department hierarchy or manager take effect immediately for department-based data permissions and approval processes.

Procedure

1. Switch department management views

  1. Go to Setup > Organization Structure > Departments.
  2. Use the view selector above the list:
    • Enabled: Shows active departments.
    • Disabled: Shows disabled departments.
    • Without Department Manager: Finds departments without a manager and helps prevent data permission gaps.
    • Without Assistant: Shows departments without an assistant.
  3. Click New Filter View to create a personalized Filter Scenario by department attributes, Data Range, or sort order. The view can use Enable Status and become the default view.

2. Disable, enable, or delete departments

  • Deactivated Departments: Select the department and click Disable. The system blocks the operation if it has active child departments, child organizations, or employees.
  • Enable a department: Select a disabled department and click Enable.
  • Delete a department: You can delete only disabled departments. Select one, click Delete, and confirm. You cannot delete an enabled department.

3. Import and export department information in batches

  1. Import in batches:
    • Click Import above the list.
    • Download the data template.
    • Enter the department name, parent department code, and department code.
    • In the import configuration, select Primary Attribute or Unique ID as the identification method.
    • For an update, choose whether empty values update existing fields.
    • Upload the file and run the import.
  2. Export in batches:
    • Click Export above the list.
    • Select the fields to export in the dialog box.
    • Click Generate Excel File to generate a download file.

Verify the result

  1. Create a test department with a disabled status.
  2. Try to delete it and confirm that the deletion succeeds.
  3. Create another test department and confirm that you can find it in the Without Department Manager view. Assign an Assigned Owner and confirm that the department disappears from that view.
