Use smart forms


Distribute smart forms, monitor traffic and submissions, and resolve common validation issues.

Overview

Administrators monitor traffic conversion after publishing a smart form. Employees distribute forms for Campaign acquisition, personal acquisition, or automated follow-up scenarios.

Before you begin

[!IMPORTANT] An administrator must grant users access to the Smart Forms user-facing feature.

Procedure

1. Monitor traffic and conversion

  1. Go to Setup > Object Management > Smart Forms.
  2. Click Details for a form and review these tabs:
    • Overview: Page views, unique visitors, and submissions.
    • Traffic Statistics: Daily traffic for the last seven days. Click Export to export details to Excel.
    • Data Statistics: Successful and failed CRM synchronization records. Filter by status or export the list.

2. Distribute a smart form

Anonymous public distribution

  1. Copy the QR code or link from form details.
  2. Publish it on a website, official WeChat account, or poster.
  3. The System user owns submitted records by default. Use a Workflow to assign them.

Employee-specific sharing

  1. Open an object list and click Smart Forms.
  2. Select a form.
  3. On the Web, download the personalized QR code or copy the link.
  4. On the app, share the QR code. Submitted records belong to the employee who shared it.

Automated email distribution

Insert the form into an email template. Configure a Workflow to send it after an event. The submitted data associates with the related Account record.

Frequently asked questions

Do submissions trigger duplicate and Validation Rules?

  • The system does not automatically clean submissions.
  • Smart Forms do not trigger Duplicate Rules.
  • Custom objects do not trigger Validation Rules. Standard objects, such as Accounts and Leads, do.
  • Field Dependencies are supported. Location components cannot populate dependent country, province, city, and district fields.

How do I configure Field Dependencies?

Configure them on the source object. Dependencies do not work when the parent field is Record Type.

Can one form use different preset items for different customers?

Only the latest saved preset value applies. Create separate forms when recipients require different preset values.
