Configure the Work Order create-page toolbar
Overview
The Work Order create-page toolbar appears in the Web client. Based on the selected account, submitters can quickly review account information, contacts, equipment, and Work Order history. This information can help them complete the form and identify duplicate or related issues.

Before you begin
- Use a ShareService administrator account or an account that can configure Work Order management settings.
- Confirm that each Account, Contact, Equipment, or historical Work Order object you want to show is enabled.
- The toolbar is available only in the Web client. It does not appear in the App.
Procedure
-
Go to ShareService > System Settings > Work Order Management > Work Order Create-Page Toolbar.

- Configure Show on Create Page. When this setting is disabled, the complete toolbar is hidden from the Work Order create page.
- Configure each related object:
- Show: Account information is shown by default. Select other objects as needed.
- Object Data Permissions: Select Follow Role Permissions or Skip Role Permissions.
- Summary Fields: Select the key fields shown in the list.
- Historical Work Order Quick Filter: Filter Work Order history by the equipment or serial number entered on the new Work Order.

-
Configure summary fields for each object so that submitters can review key information directly in the toolbar list.

- Save the configuration.
Data permission rules
| Setting | Data in the toolbar list | Object details |
|---|---|---|
| Follow Role Permissions | Shows only associated records within the current user’s role permissions | Continues to follow the current user’s permissions |
| Skip Role Permissions | Shows all associated records in the list | Continues to follow the current user’s permissions; this setting does not grant detail-page access |
Expected results and verification
- Sign in with a target-role test account, create a Work Order in the Web client, and select an account.
- Confirm that the toolbar shows Account, Contact, Equipment, and Work Order history according to the configuration.
- Verify the summary fields and historical Work Order quick filter.
- Test accounts with different data permissions. Confirm that a user without detail permission still cannot open a restricted record.
- Create a Work Order in the App and confirm that the toolbar does not appear.
Notes
- Skip Role Permissions affects only the associated records shown in the toolbar list. It does not grant access to object details.
- When Show on Create Page is disabled, none of the related-object or filter settings appear on the create page.
- The historical Work Order quick filter requires associated equipment or a serial number on the new Work Order.
