Select spare parts management mode
Overview
Administrators select one spare parts management mode based on whether the organization keeps warehouse stock, manages engineer personal inventory, and needs request and delivery. The mode controls later menus, available part sources, and how stock changes. For concepts, capability comparison, and stock changes, see Spare parts management overview.
Before you begin
- Confirm that the organization uses Field Service Professional Edition and that you have spare parts management configuration permission.
- If you will select Advanced mode, first confirm that Inventory Management is in independent-management mode or ERP integration mode.
- Confirm whether you need to track engineer on-hand quantity, and whether you need request, delivery, sign-off, and return shipment between warehouses.
Select a mode
| Business need | Select |
|---|---|
| Record only which parts a work order used, without maintaining quantity | Simple mode |
| Manage only parts in engineers’ hands; keep warehouse stock offline | Normal mode |
| Manage warehouse, personal inventory, request, delivery, sign-off, and return shipment together | Advanced mode |
Steps
- In the Field Service app, go to System Settings > Business Plugin > Spare Parts Management.
- Review the current spare parts mode and enabled dependent modules.
- Select Simple mode, Normal mode, or Advanced mode according to the table, then save as the page instructs.
- Validate with a test product and test work order. Simple mode should record consumption only. Normal mode should show personal inventory. Advanced mode should also show warehouse stock and request/delivery entries.
Expected results and verification
- After you save the mode, Field Service shows entries that match that mode.
- In Advanced mode, confirm that warehouse administrators have Spare Parts Warehouse, spare parts inbound, and spare parts outbound business permissions.
- Use test records to verify stock impact. Do not use Simple-mode consumption records to judge whether warehouse stock decreased.
Notes
- Changing mode changes visible objects and stock meaning. Check existing personal inventory and warehouse data before you switch.
- Spare parts request, delivery, and return shipment are available only in Advanced mode with new spare parts consumption.
