Consume and return spare parts


Overview

Spare parts consumption records new parts used and used parts recovered on a work order. A spare parts return shipment returns request items or stock items to a target warehouse in Advanced mode. Before you begin

  • Spare parts consumption uses the new feature, and the required work order is ready.
  • In Normal or Advanced mode, confirm that personal inventory has available new parts. When Advanced mode consumes from spare parts inventory, confirm that the New Part Consumption Warehouse has available stock.
  • Spare parts return shipment orders are available only in Advanced mode with new spare parts consumption.

1. Record spare parts consumption

  1. On the Web, go to Field Service > Spare Parts Management > Spare Parts Consumption.
  2. Click New in the upper-right of the list. Enter the work order (required) and consumption details.

  3. Select parts according to the organization mode. For how each mode changes personal inventory or warehouse quantity, see Spare parts management overview.

New spare parts consumption and mode differences
  1. Enter the new-part consumption quantity. If used parts were removed on site, enter the used-part recovery quantity and source.
  2. Save and submit spare parts consumption, then return to the work order and check the consumption record.

2. Create a spare parts return shipment in Advanced mode

  1. Go to Field Service > Spare Parts Management > Spare Parts Return Shipment, then click New.

  2. Select a return mode:
    • Return by request item: select parts to return from spare parts request details;
    • Return by stock item: select parts to return from spare parts inventory or engineer personal inventory.

  3. Enter the target warehouse, products, and quantities, then confirm the return shipment.
  4. After confirmation, the system creates an outbound order or material return order by source, and deducts spare parts inventory or personal inventory detail quantity.

3. Sign off a return shipment

  1. After the target warehouse receives the parts, open the matching return shipment and click Sign Off.

  2. After sign-off, target warehouse stock increases.

Expected results and verification

  • The work order shows this spare parts consumption. In Normal or Advanced mode, source stock quantity decreases at the same time.
  • After an Advanced-mode return shipment is confirmed, you can find the matching outbound order or material return order.
  • After return-shipment sign-off, target warehouse stock increases and source stock is not deducted again.

Notes

  • Return by request item and return by stock item use different selection ranges. Do not use personal inventory details in place of request details.
  • If Advanced mode is on but the return shipment entry is missing, confirm that new spare parts consumption is enabled.
