Manage personal inventory
Overview
Personal inventory shows spare parts an engineer carries or keeps. Use material requisition to add parts and material return to send them back. For the difference from spare parts inventory, and how requisition, consumption, recovery, material return, and return shipment change quantity, see Spare parts management overview. This article explains how to view personal inventory, pick up parts, and return parts.
Before you begin
- The organization has enabled Normal mode or Advanced mode and has initialized personal inventory. After personal inventory is enabled, employees in the engineer role have a personal inventory by default.
- Engineers have Field Service menu permission for personal inventory, material requisition orders, and material return orders.
- For App, an administrator must first add Personal Inventory, Material Requisition Order, and Material Return Order to the Field Service mobile home page.
1. View personal inventory
Web
- Go to Field Service > Personal Inventory Management and open the personal inventory list.

Click the target personal inventory to view details and current quantity.


App
- Open the Field Service mobile home page and tap Personal Inventory.

View spare part details and quantities in the current personal inventory.


2. Pick up parts into personal inventory
- On the Web, go to Field Service > Personal Inventory Management > Material Requisition Order and open the list.
- Click New Material Requisition Order in the upper-right of the list.

Follow the page to enter header and detail information. On the App, open the Material Requisition Order menu and use the same object.

Click Submit Material Request. By default, submitting approves the requisition.

- If the organization enabled material-request approval, Submit Material Request, Confirm Material Request, and Reject Material Request on the order are disabled. Clicking them does not change requisition status. Wait until approval sets the status to Warehouse Confirmed Material Picked. Then the system issues stock.

After the requisition is approved and issued, the system creates personal inventory in/out details. Open personal inventory details and confirm that requested product quantity increased.

3. Return parts from personal inventory
- On the Web, go to Field Service > Personal Inventory Management > Material Return Order and open the list.
- Click New Material Return Order in the upper-right of the list.

Follow the page to enter header and detail information. On the App, open the Material Return Order menu and use the same object.

- Select parts to return by spare part type:
- New Part: unused parts;
- Used Part: parts recovered at the customer site.


Expected results and verification
- You can open the personal inventory list on Web or App and view detail quantities.
- After a material requisition order is approved and issued, matching New Part quantity in personal inventory details increases. Inventory type is No Actual Inventory in Normal mode and Actual Inventory in Advanced mode.
- In Advanced mode, you can find the matching warehouse outbound order after requisition issue.
- After a material return is completed, matching New Part or Used Part quantity in personal inventory decreases.
Notes
- Simple mode has no personal inventory, material requisition order, or material return order. If an entry is missing, check mode, mobile menus, and business permission. Do not use the warehouse stock entry instead.
- Work-order consumption is not done on a material requisition or material return order. To consume new parts from personal inventory, see Consume and return spare parts.
- In Advanced mode, parts can also enter personal inventory through spare parts delivery sign-off. See Request and ship spare parts.
