Configure spare parts classification and inventory
Overview
Spare part categories and product records are required in all three modes. Warehouses, stock, inbound orders, and outbound orders apply only in Advanced mode. After this setup, engineers can select the correct parts in consumption, material requisition, or requests. Before you begin
- You have selected a spare parts management mode and enabled the add-on.
- Prepare spare part name, category, model, unit, unit price, and images.
- In Advanced mode, confirm that Inventory Management is enabled and that warehouse staff have the matching business permissions.
Configure product categories and spare parts

Go to Management > Preset Object Management > Products and set the product categories needed for spare parts.

- Go to CRM > Products and create or import spare part products.

Maintain name, category, model, unit, unit price, and image for each product. Confirm that the product status allows business use.

Configure warehouses and stock in Advanced mode
Configure warehouse permissions

Go to the Management > Warehouse object. Assign the Spare Parts Warehouse record type permission to warehouse administrators or spare parts warehouse staff.

Create and view warehouses
- Go to CRM > Warehouse, click New in the upper-right of the list, enter warehouse details, and save.

Open warehouse details and view products, units, quantities, warehouse type, and safety stock in your permission scope.


Configure inbound and outbound permissions
- On the Management > Inbound Order object, assign the spare parts inbound record type permission to warehouse administrators or spare parts warehouse staff.

On the Management > Outbound Order object, assign the spare parts outbound record type permission to warehouse administrators or spare parts warehouse staff.


Record inbound and outbound stock
- In the upper-right of warehouse details, or on the Inbound Order object, click New Inbound Order.

Select the spare part type, enter inbound products and quantities, and save the inbound order.

On the Outbound Order object, click New Outbound Order, select the spare part type, enter outbound products and quantities, and save.


Expected results and verification
- In all three modes, product categories and spare part products can be selected on the matching business documents.
- In Advanced mode, warehouse details show product stock and safety stock.
- After a test inbound or outbound transaction, reopen warehouse details and check the quantity change.
Notes
- Normal mode does not keep warehouse stock in Field Service. Do not create a stock ledger only for Normal mode.
- Inbound and outbound permissions are inventory business permissions. Work order permission in Field Service is not enough.
- After a product unit, model, or spare part category is used in stock or consumption, confirm that changing it will not affect existing records.
