Set up the SendCloud email service
Overview
Bind SendCloud to ShareMarketing to send marketing email and track delivery and engagement.
Before you begin
- Make sure you can access the email integration settings in ShareMarketing.
- Choose a sending domain whose DNS records your IT operations team can manage.
- Confirm which ShareCRM deployment hosts your ShareMarketing tenant.
- Prepare a SendCloud account for that deployment.
Choose a sending domain
Every organization needs a sending domain before it can use email marketing. Use a domain for which your IT team can manage DNS records.
A verified company-owned sending domain confirms ownership and helps protect against unauthorized use. Verification can improve the account’s trust with the email platform. Recipients see the domain in your sender address. Delivery, opens, and clicks affect how mailbox providers assess its reputation.
- Ask the marketing team to propose a subdomain for sending email.
- Ask IT operations to confirm that the domain is available and that its DNS records can be changed.
- For a mainland China deployment, confirm the applicable ICP filing requirement with IT operations or your account manager before binding the domain.
Use letters, numbers, and hyphens within domain labels, with periods between labels. Do not use spaces, Chinese characters, underscores, or other special characters.
Avoid using your employee email domain as the marketing sending domain. Marketing DNS records can conflict with employee email, and marketing complaints can harm the domain’s reputation. For example, a company using
example.com for employee email could use newsletter.example.com for marketing.Choose the domain carefully. ShareMarketing does not provide self-service domain rebinding. If you must change it, contact support. The process requires clearing all customer account-related data before configuring the service again. Coordinate the timing and data impact with support. The documented procedure schedules this work after 23:00 on Friday.
Prepare the SendCloud account
You need help from IT operations, which manages the domain and DNS service. Confirm which ShareCRM deployment hosts your ShareMarketing tenant.
- Register a SendCloud business account for the service that matches your deployment and recipients.
- For the mainland China service, complete business verification. You can test a send before verification. The documented unverified-account limit is ten emails per day. Confirm the current limit with SendCloud.
- Add credit before production sending. After DNS setup, ask your account manager about a test quota. Provide the email address or account name used to register with SendCloud.
SendCloud charges for its own service. Check current plans, added services, and pricing with SendCloud. ShareMarketing connects to SendCloud through its API; it does not replace the SendCloud subscription.
| Deployment | Mainly domestic recipients | Overseas recipients |
|---|---|---|
| ShareCRM Cloud, DingTalk Cloud, Huawei Cloud, or dedicated cloud | SendCloud mainland China service and its base plan | Mainland China service with the overseas delivery add-on |
| AWS Cloud | SendCloud international service | SendCloud international service |
Review SendCloud plans and dedicated IPs. Check the overseas delivery add-on or international service for overseas sending. Confirm current options with SendCloud or your account manager.
For demanding delivery requirements, ask SendCloud about a dedicated IP. A shared IP can be affected by the behavior of other senders. A dedicated IP does not guarantee delivery; your own sending reputation still matters.
After you add credit, ShareMarketing displays the SendCloud balance once the account is bound.
Get the SendCloud API credentials
- Sign in to SendCloud.
- Copy the preset test API_USER and API_KEY. In the international service, find them under API.
- Keep the credentials available for the ShareMarketing binding step.
Bind SendCloud in ShareMarketing
- Open ShareMarketing > Email Marketing and start email-service activation.
- Enter the sending domain, API_USER, and API_KEY. Save and confirm. If saving fails, check that each value was copied correctly.
- Copy the DNS records shown in the next step and send them to IT operations.
- Ask IT operations to add the records exactly as shown in your DNS provider’s domain-management area. Some tools call this area My Domain. The documented setup uses three TXT records and one MX record. The tool may be DNSPod or another DNS provider.
- After the records are in place, return to ShareMarketing and run the DNS check. Continue when every check passes.
Set SendCloud sender and reply addresses
- Open the SendCloud integration settings under ShareMarketing > Settings > Plugins > Email Platform.
- Add the sender name and email address that recipients should see.
- Add the reply name and a working mailbox for customer replies.
- Save the settings, then send a test email from Email Marketing. Check the sender name and address in the received message.
Configure a SendCloud tracking domain
A tracking domain is required to record opens, clicks, and unsubscribes.
- SendCloud mainland China service: submit a support ticket and wait for SendCloud to process the tracking domain.
- SendCloud international service: configure the domain directly. Ask IT operations for the domain certificate and help with DNS records.
Complete and verify the tracking-domain setup in SendCloud before relying on engagement reports.
Finish SendCloud setup and review the sending quota
- Return to ShareMarketing > Email Marketing > Bulk Email.
- Confirm that the SendCloud account details and available daily email count appear at the top of the page.
- Send a test message and check delivery and tracking before sending to the production audience.
- Complete SendCloud business verification and add credit before production use if you deferred those steps.
The displayed daily available count is SendCloud’s recommended sending limit. It can rise as sending reputation improves. Contact SendCloud support to request a higher limit. When the quota is exhausted, sending is blocked for that day.
Keep the SendCloud integration credentials intact
After binding, ShareMarketing uses the initial API_USER and API_KEY to create the domain configuration and two additional SendCloud API users. One is for bulk marketing email; the other is for triggered notification email.
Do not rename those API users or rotate their keys without coordinating the change with support. Otherwise, ShareMarketing may fail to send email.
Expected result
The SendCloud account and daily available count appear in Bulk Email. Check the received test message and tracking data before production sending.
